Postal company finds safe partner in chain liability in DataChecker

One of the largest Dutch postal companies works with DataChecker systems every day to their full satisfaction in order to comply with statutory chain liability.

Postal companies innovate every day, at every level of their broad service provision. One of the largest postal organisations in the Netherlands and Belgium offers employment to tens of thousands of professionals. Three quarters of this file is supplied by subcontractors, including specialised delivery companies. This requires a balanced and highly efficient system of identification and verification. In DataChecker, the ideal partner was found for a safe chain liability.

The cooperation is going very well and meticulously, is the conclusion of the postal and parcel processor after a few years. That relieves the pressure on their organization, especially when it comes to the responsibilities in the chain liability. It turned out to be very necessary to innovate in the way the organization screened subcontractors and their employees.

“Right To Work” verification sometimes took 48 hours

Before the optimization by DataChecker, this verification was done per sorting location of their parcel division. The IDs were scanned via their own back office, but it sometimes took 48 hours to assess the Right To Work verification. This gave the back office employees an enormous responsibility that could not be sustained in the long term. The process was cumbersome and error-prone, with the risk of a fine of 12.000 euros per detected omission. There were even situations in which 20 violations occurred in one day. This was a major burden on the operation.

Connection to hundreds of subcontractor systems

The postal company had some thoughts on how to optimize the process of ID checks, but lacked the right party to help them with this. A few years ago, they decided to do a business case with DataChecker, and that turned out to be one of the best decisions in meeting the chain liability. The parcel division of the postal company works with hundreds of individual companies, and it became a major challenge to make the connections with the subcontractors’ systems.

Square control ‘under water’

DataChecker, thanks in part to its advanced portal that was linked to that of the postal company, provided a square check that also takes place ‘under water’. The subcontractors and their staff therefore do not notice the identifications and verifications. In the background, a check is now carried out on the certificate number of the subcontractor, plus a check on the last four characters of the IDs of their employees. With around 5.000 registrations per year, this resulted in pure profit in the daily processes, both financially and in lead times.

ID checks also work well in Belgium

The ID verifications by DataChecker also extend to the activities of the postal company in Belgium. The legislation regarding chain liability differs from that in the Netherlands, but DataChecker developed a well-functioning system of identity verification with the help of a specially built portal. DataChecker also showed that responsibility must lie where it is needed. With a unique code, the Belgian delivery partners simply log in to the DataChecker portal and the results of the Right to Work checks can quickly be viewed in the systems of the parent organization.

Pressure on back office has decreased significantly

All checks in identification and verification are now automatic. In exceptional situations, back-office employees still have to perform a manual check, but that happens sporadically. As a result, the pressure on the back-office has decreased significantly, and they can concentrate on other activities.

Further development in optimization

In addition to the ongoing service, the postal company is impressed by the flexibility of DataChecker. Although the collaboration was created under great time pressure to prevent larger problems in the chain liability, even with the requested adjustments in the system, the collaboration went smoothly. And as with all our customers, we also continue to develop in optimizing identification and verification at this postal company. This guarantees a safe role in the statutory chain liability.
