From hospitality and healthcare to security and events – in all sectors where flexible staff are employed, Poolmanager is a welcome partner. “For example, we help organisations to automate their intakes,” says consultant Jop Hardonk. “They can now improve them even further, thanks to our collaboration with DataChecker.”
Pool Managers’ support extends beyond just intakes and onboarding: registering and preparing new staff. “We also help with everything that follows, such as scheduling, communication, contract generation, time tracking, and certificate management. Our software allows our clients to streamline all of that.” This software is suitable not only for organizations that recruit their own employees, Jop emphasizes, but also for staffing agencies. “In fact, our software comes from such an agency!”
COMPLETE SYSTEM
Jop summarizes that origin briefly: “Like every company, hospitality employment agency Verwiel & Wijngaard once used a large paper agenda to schedule people. The owners were looking for a more efficient alternative, but couldn’t find it anywhere. ‘Then we’ll develop something ourselves’, they thought. That idea led to a precursor of the software we have now: a complete system for Workforce Management.” Initially, the owners kept their software to themselves – for internal use. “But when a growing number of companies showed interest, they decided to bring it to market. Via a new sister company: Poolmanager.” As a consultant at Poolmanager, Jop helps to continuously sharpen the digital toolset.
EVEN BETTER INTAKE
“As Pool Manager, we decided to take a new step in efficiency and quality in 2023. We wanted to enable our customers to further digitalize the intake of new employees. They could already use digital contracts, forms and planning modules with our system. But we did not yet offer digital ID checks and right-to-work verification. It was high time for that.” The same applied to expertise in the field of those checks and verifications. “We also wanted to provide that. After all, more and more employees come from outside the EU – with many different, less well-known ID documents. Moreover, the legislation on work permits is changing all the time. Expertise is crucial to be sure that your flexible workers are who they say they are. And that they are really allowed to work in the Netherlands.”
EXTERNAL EXPERTISE
DataChecker’s knowledge, experience and largely digital checks were a godsend for Poolmanager. “After a number of good discussions, we integrated their checks into our system. Our customers have been able to opt for this since October 2024. And more and more of them are doing so, partly because we clearly show them the benefits. They then purchase DataChecker’s services through us: we are the ‘reseller’.” This integration did require some technical coordination between the DataChecker and Poolmanager systems. And there was also a pilot. “But that all went very quickly and accurately,” says Jop. “Smooth, pleasant and effective, as I experience the entire collaboration. The lines are short, we have clear agreements and DataChecker clearly explains how and when which checks take place.”
DIGITAL CONTROLS
What does an intake process look like with DataChecker’s checks? “Potential employees register via social media or a form on our client’s website, for example. Thanks to the Poolmanager software, they then automatically receive a request for additional information. That email, completely in our client’s house style, also contains a link to DataChecker’s ID and right-to-work check.” Have people successfully completed this check – or not? “Then DataChecker will notify you via our software. They also provide other relevant information. For example, when ID cards or work permits expire. This allows the software to immediately set up notifications for planners, intended to encourage employees to renew their documents on time.”
HUMAN VIEW
“DataChecker completely meets our needs and still manages to surprise us,” says Jop. “For example, I expected full automation. But I quickly discovered that DataChecker also deploys an expert for the final check after the digital check. So there’s always a human touch. Very nice: that provides extra security.” This human touch does mean that DataChecker’s checks take place during office hours. “If you submit a check request after those hours, you get a quick response the next business day. So far, our customers are fine with that. But I’m considering expanding our Service Level Agreement with DataChecker so they can perform checks 24/7 for some customers.”
IMMEDIATE CERTAINTY
Jop explains for whom the 24/7 availability of DataChecker can be useful. “Some organizations have a large unplanned influx. For example, in the festival and event industry, where sometimes dozens of employees register at the last minute – outside office hours. For these organizations, it is important to complete the intake quickly, to have immediate certainty about employees, and to be able to continue.” Poolmanager has everything in-house for that follow-up, Jop emphasizes again. “Our software not only arranges the intake, from the first moment of contact to deployment, but also everything that comes after that – from pool management, roster planning and communication with employees to time registration and contract processing. The entire process is clear and digital. That saves a lot of manual work, time and money.”

“We can also be an interesting partner for DataChecker customers,” Jop continues. “If you already rely on DataChecker for your ID verification, then it is only a small step to streamline the rest of your process digitally as well. Especially in sectors with a lot of flexibility – such as healthcare, security, hospitality or events – speed and error-free work are crucial. Poolmanager, together with DataChecker, can really make a difference in that.”
