“As an employment agency, you need to be certain that the professionals you place are actually allowed to work.” This is the word of Cindy van Esseveldt, ICT and Facility manager at Trixxo. “It goes without saying that you check whether they have the right documents for this.” What is less obvious is who carries out this check – and how this is done. Trixxo itself assigned this task to DataChecker. Why?
“We are growing fast,” says Cindy. “Our organization now has fifteen branches throughout the Netherlands – and that number is increasing. This is because we are acquiring other companies. But certainly also because job seekers like our approach.” Unlike many competitors, Trixxo finds it important to maintain physical locations. “We often go the extra mile for our temporary workers. For example, if they don’t know what to do with a letter from the Tax Authorities. Or how to apply for a certain benefit.”
External expert
As Trixxo grows, so does the number of employees. And with that, the chance that there are intermediaries who don’t know exactly what to look for when checking documents – from passports to residence permits. “We investigated their knowledge in this area ourselves a year or two ago,” says Cindy. “And we concluded that not everyone was up to par. The fact that this hadn’t caused any problems yet was great. But of course we didn’t want to wait until those problems did occur. We saw that action was needed very quickly.”
Trixxo could have chosen to use a training program to bring the knowledge of employees up to date and keep it up to date. But it is difficult to keep every intermediary informed of the latest regulations. So they chose a different path. “We went looking for an external expert who could check for us whether documents were real and valid, and whether people were allowed to work with them. In this way, we wanted to minimize the risk of errors. And with that, the chance that our name would be damaged, that we would receive fines or – in the worst case – that we would lose our certification.”
Good decision
The search for an external expert ended at DataChecker. “We found them through the company that supplied our back office system,” says Cindy. “They told us that they worked with DataChecker regularly and were very satisfied with it. They also said that they could easily create a link between our system and that of DataChecker. When we understood what that link entailed, we decided to give it a try. That was in September last year.”
Thanks to the link, Trixxo employees no longer need to log in to another portal to have the documents of professionals verified. “That can simply be done via our own system; very user-friendly.” And there is another major advantage. “It is now virtually impossible to send someone out whose documents are incorrect. Recruiters cannot create a contract in our system without DataChecker having given the green light to those documents. And DataChecker’s check is very accurate.”
Extra alert
“Fortunately, at least 95 percent of the official papers that Trixxo uploads pass the check without any problems,” says Cindy. “But in 5 percent, there is something wrong. Sometimes DataChecker indicates that we accidentally uploaded the wrong document. Or that something important is not visible in the scan. And sometimes they indicate in a right-to-work check that a document does not entitle someone to employment, while we thought it did. The latter has happened a few times now – and that is where DataChecker really saved us.”
DataChecker’s expertise is not only evident from its sharp checks. “They also keep me informed of important developments and changes – for example in the area of regulations. If there is relevant news, I can read it immediately when I log in. A DataChecker pop-up then appears on my screen.” Cindy also receives a newsletter. “For example, they recently told us which target groups often have documents that do not pass the check. They advised me to be extra alert to this.”
Latest changes
“Sometimes a document doesn’t pass the check, but we don’t understand exactly why,” says Cindy. “It’s very nice that I can easily reach DataChecker and always get a good explanation.” She also likes that she can always brainstorm with DataChecker. “For example, I recently had some questions about Ukrainian refugees. About the regulations surrounding this group. Because the conditions under which they are allowed to work change quite often.” DataChecker was able to explain exactly what the latest state of affairs was.
Cindy: “They stay up-to-date and keep us informed, while at the same time performing strict checks and protecting us from mistakes. That is exactly what we hired them for. So we are very happy with them.”
